Status Overview

Understanding User Status & Requirement Status

User Status Definitions

At the Group level, each user has a status field indicating their progress on assigned requirements:

  • Not Activated: The user hasn't activated their Ankored profile. They need to check their email for the activation link and click "Activate Account."

Tip: If you're manage a large group of users, click 'Resend Activation emails' to resend invitations to all users that haven't activated their account. 

  • Incomplete: The user has missing requirements. Hover over the "Incomplete" button to see which requirement is missing.
  • Cleared: The user has completed all assigned requirements including optional requirements
  • None assigned: This user has activated their profile with Ankored and do not have requirements assigned to their role in Ankored
  • Pending Confirmation: This user was added via a unique sign-up URL and must confirm their email to activate their profile. An email from Support@ankored.com has been sent to the individual.
  • Disqualified: The user has been locked out of Ankored due to a requirement outcome, such as a flagged background check.
  • Optional: The user has not completed the assigned requirements, which are optional

Requirement Status Definitions

Ankored tracks a user's status per requirement. Here are the definitions for each requirement status:

  • Completed: The user has successfully fulfilled this requirement.
  • Incomplete: The user has not fulfilled the requirement, and action is needed on their part to complete the requirement.
  • Waiting on Applicant: Specifically for an integrated background check requirements, the user has initiated the application process but has not submitted the application to our third-party provider for screening.
  • Waiting on Provider: Specifically for an integrated background check requirements, the user has submitted their application, and no further action is needed on their part. Our third-party provider is currently screening the background check, a process usually completed within 72 hours or less. 
  • In-Progress: Specifically for integrated Abuse Prevention Training, the user has started the training video but has not completed the training.
  • Pending Review: The user has manually uploaded the required document. The organization's admin must review the file and choose one of the following actions: Approve, Reset, or Reject.

    Important Note: If the document is not approved, the user will receive an email notification stating the upload was not accepted, along with the reason for rejection. The user will then have the opportunity to upload a new document. 

  • Expired: This requirement was previously completed but has now expired. The user must re-complete it to achieve a completed status.
  • Expiring Soon: This requirement is nearing its expiration date. Users will receive email alerts regarding the impending expiration, and they need to re-complete it to achieve a completed status. Users may re-complete a requirement in this status as soon as 30 days after the expiration date or  or remove the file and re-do the requirement. 
  • Optional: An optional requirement is not mandatory for the user to complete but is available. If the user chooses to complete the optional requirement, their status for that requirement will be updated to 'Completed'.
